InvoiceMe privacy policy.
InvoiceMe runs your quotes, invoices and receipts. That means it holds real business data — yours and your clients’. This policy explains exactly what we collect, how AI processing works, and how to get your data out.

The short version
- Your business data and your clients’ details belong to you. We store them to run the service — nothing else.
- Receipt images and job photos are processed to extract the data you asked for. They are used only for that.
- Accounting integrations connect through OAuth. We never see your Xero, MYOB or QuickBooks password.
- We do not sell your data. There are no ads in InvoiceMe.
- You can export your data and delete your account at any time via support@toolsai.app.
Who we are
InvoiceMe is made by ToolsAi Pty Ltd (ABN 73 698 152 902), an independent iOS software company based in Sydney, Australia (“ToolsAi”, “we”, “us”). This policy covers the InvoiceMe iOS app. Our website has its own privacy policy, and use of InvoiceMe is governed by our terms of use.
Account data
When you create an InvoiceMe account, we collect your email address, your name and a sign-in identifier (for example, from Sign in with Apple). We also store the business details you add for your documents: business name, ABN, logo, contact details and payment instructions that appear on your quotes and invoices.
Business and client data
The core of InvoiceMe is your work: quotes, invoices, line items, prices, job notes, and your clients’ names and contact details. We store this data to provide the service and process it only on your instructions — to draft, send and track your documents.
Your clients’ details are personal information too. We protect them the same way we protect yours, and we never use them for marketing. You are responsible for making sure you are entitled to enter your clients’ details into the app.
Job photos and receipt scanning
When you photograph a job or scan a receipt, the image is processed by AI to extract structured data — line items, amounts, dates, GST and supplier names. To be clear about what that means:
- Images are transmitted securely to our servers for processing, and the extracted data is returned to your app for you to review.
- Images are used only to provide the feature you invoked — nothing else.
- Your images and extracted data are not used to train third-party AI models.
- Extracted results are always shown to you for review. You decide what gets saved, sent or synced.
Accounting integrations — Xero, MYOB and QuickBooks
You can connect InvoiceMe to your accounting platform. Connections use OAuth: you sign in on the platform’s own login page, and it gives us an access token.
- We never see or store your accounting password.
- Access tokens are stored encrypted and used only to sync the data you choose.
- We push the data you send — receipts, invoices and related records — to the platform you connected.
- You can disconnect at any time, in InvoiceMe or from the platform’s connected-apps settings. Disconnecting revokes the token.
Once data reaches Xero, MYOB or QuickBooks, it is governed by that platform’s own terms and privacy policy.
Payments
Subscriptions are purchased through the App Store using Apple’s StoreKit. Apple processes the payment; we never see your card details. You manage or cancel your subscription in your App Store account settings.
Where invoices are paid through the app, card details go directly to the payment processor — we never store your clients’ full card numbers.
Analytics and diagnostics
We collect basic, aggregated usage and crash data so we can find bugs and see which features matter. This data does not include your documents, photos, receipts or your clients’ details, and we do not use it to build advertising profiles.
What we never do
- We never sell your personal information or your clients’.
- We never show ads or share your data with ad networks.
- We never use your business data for marketing to your clients.
- We never move data to your accounting platform without your instruction.
When we share information
We share data only where the service cannot work without it:
- Apple — for App Store purchases and app services.
- Our cloud infrastructure and AI processing providers — to store your data securely and run receipt and photo extraction.
- The accounting platforms you choose to connect — Xero, MYOB or QuickBooks.
Some of these providers store data outside Australia, including in the United States. Where that happens, we take reasonable steps to make sure your information is handled consistently with the Australian Privacy Principles. We will disclose information if the law requires us to.
Retention
We keep your account and business data while your account is active, because your quotes, invoices and receipts are records you rely on. If you close your account, we delete your data within 30 days, except records we are legally required to keep.
Remember that tax law requires businesses to keep their own records — export your data before deleting your account. We can provide an export on request.
Deleting your data
Email support@toolsai.app with the subject “Delete my InvoiceMe data” and we will delete your account and associated data within 30 days, except records we are legally required to keep. Deleting the app removes on-device data; disconnecting an integration revokes its token but does not delete data already in your accounting platform.
Your own privacy obligations
If you enter personal information about your clients, you may have your own obligations under the Privacy Act 1988 (Cth) or other laws that apply to your business. InvoiceMe gives you the tools; how you use client data remains your responsibility.
Australian privacy law
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where you or your clients are located outside Australia — including New Zealand — we apply the same standards described in this policy.
Complaints
If you think we have mishandled personal information, email support@toolsai.app with the subject “Privacy complaint”. We will respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
Changes to this policy
If we change this policy, we will post the new version at this address and update the date at the top. If a change affects how your photos, receipts or client data are handled, we will tell you in the app before it takes effect.
